In order to maximize the available time, the wedding preparations will begin directly after the plan has been presented to the couple and approved by them. This would allow about four months for the wedding to be organized. The wedding venue selected is a private wedding hall with an adjoining reception area. The wedding hall and the reception area would have similar seating capacities good for about 200 guests for each area. The wedding hall location point would be further subdivided into several areas.
These areas include the main aisle, the main altar, the front row and back row seats, the doorway at the far left side of the main altar, and the organist’s area. The reception location point would also be further divided into several areas which are the couple’s table, the presidential table, and the guests’ table, the dance floor/program area, and the entry way from the wedding hall to the reception area. These locations were selected primarily considering the convenience of travel from them to the wedding venue. All arrangements pertaining to the venue and all of the location points defined would be finalized by the second month since plan approval while the attire of the entire entourage would be finalized by the end of the first month. One month before the wedding, all arrangements with all suppliers would already be settled and would just be waiting for the event.
This would include arrangements with the caterers, the florists, the photo and video crews, and the physical arrangement crews. Two weeks before the wedding, the attire of the entire entourage would be completed. One week before the wedding, a wedding rehearsal would be held in the venue itself where all of the timing sequences would be tested and the tempo would be regulated. The timing of some events which would not be actually done during the rehearsal such as the change of costume from traditional Korean to western attire would be estimated.
The night before the wedding, the bride and groom would each stay at their respective base of operations from which they would be coming from. On the wedding day, one personnel would be assigned to both the bride’s and the groom’s respective parties in order to coordinate their arrival. The rest of the coordinating group would be meeting at the wedding site 4 hours before the actual event to oversee final preparations by the suppliers. Personnel would be assigned to each of the area subdivisions in the wedding hall while two personnel would be assigned to the reception hall to resolve any unanticipated issues in that location point that may occur while the wedding ceremony in the wedding hall is still in progress. On the other hand, the rest of the team which would be assigned to the wedding hall would ensure that all of the arrangements are prepared and all relevant personnel such as the officiator and the organist are at their proper places.
All guests would be expected to already be seated at the back row seats area before the wedding will commence. The entire entourage would enter the wedding hall through the main entrance while the officiator of the wedding will enter from the side door at the far left of the main altar. The sponsors would be ushered to the front row seats. The wedding will proceed in the traditional Korean fashion and is expected to last for 1 hour. At the end of the ceremony, the couple will be the first to leave the wedding hall while everyone else would be advised to remain on their seats.
This is a potential gap which may be closed through the playing of one love song number by the organists. The couple would be the first to leave because they will each enter their respective restrooms at the junction to the reception hall where they will change their respective attires from the traditional Korean to modern western. After the musical number, the rest of the entourage and guests will be ushered to the reception hall where they will wait for the bride and groom to make their entrance through the same junction.
Once the bride and groom have completed their costume change, they will enter through the junction as a couple and the reception program would follow. Once the couple have made their entrance, they will proceed to couple’s table while romantic music continue to play. The guests will be seated in numbered tables so that once the couple have taken their seat, the master of ceremonies would begin ushering the occupants of each table to the couple’s table for photo opportunities before directing them to the buffet table.
This would help organize the lines that would form on the buffet tables and at the same time would compress the time needed to make relevant photo and video coverage. There will be three planned interludes to the playing music during the entire reception. The first interlude would be after the couple’s entry where the best man would be asked to give his message to the newlyweds. The second interlude would be during the bouquet and garter toss ceremonies where the master of ceremonies would take over.
This event would be followed by a photo opportunity for those who caught bouquet and garter and the newlyweds. The third interlude would be during the cutting of the cake and drinking of wine events. Aside from this planned interludes, the music would also stop when the guests tap their glasses with their utensils to request the couple to kiss. The program would end with the couple giving the guests their own message and then making their exit through the same junction between the reception and wedding halls.
